PRIVACY POLICY – THE CAMPERDOWN MILL

To make reservations/bookings it is necessary for us to collect contact information. We respect your privacy and are committed to protecting the confidentiality and security of the information that you provide to make bookings with us.

We also receive information from third-parties, via our website statistics (cookies) and our online travel management systems, agencies, booking services etc, and if you choose to connect with us on social media  platforms. 

We use your information for communication purposes. We do not sell your information. We may need to provide information if it is requested by the police or if the business is sold, as permitted by law.

Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement. We may change this policy from time to time by updating this page. Please revisit our privacy policy and terms and conditions when booking.

We may collect the following information

  • name and job title, company name if applicable 
  • contact information including mobile phone number and email address 
  • demographic information such as postcode, preferences and interests
  • driver’s license or passport number 

What we do with the information we gather
We require this information to create and facilitate your booking and for necessary communications regarding your bookings, and for the following reasons:

  • Internal record keeping. 
  • We may use the information to improve our products and services. 
  • We may periodically send promotional email information, only if you opt in for this.
  • We may contact you by email, phone, or mail. 
  • We may use the information to customise the website according to guest needs. 

Security

We are committed to ensuring that your information is secure. To prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

The general information, and reports, that we access are used to make sure that our website is effective in its reach and to make informed decisions regarding the business. Any information is treated confidentially and will not be shared with anyone outside of the company unless otherwise stated in this privacy policy.

Please be assured that when booking direct with us payments are securely processed by either Stripe or Square payment portals.

Privacy Act 1988: you may request details of personal information which we hold about you, if you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible: bookings@camperdownmill.com.au. We will then promptly correct any information.

TERMS AND CONDITIONS – THE CAMPERDOWN MILL

The following terms and conditions apply to your stay at The Camperdown Mill, for bookings made directly via our Reception Staff or via our connected online booking systems. These terms and conditions may be updated from time to time and are subject to change, please review when booking.

BOOKINGS:
Bookings can be made directly by calling Mill Reception: 0436 655 544 on weekdays between 8.30-12.30 or 2.30-6.30. Outside of office hours you may text details and we will get back to you as soon as possible. You may also book and check availability via our website: https://camperdownmill.com.au/ – we are also connected to online travel agents.

Reservations are subject to availability and according to pricing at the time of booking. Any verbal quote is an estimate, which will be subject to written advice on confirmation of the reservation. If an email is not available to send booking confirmation, the cancellation policy can be explained over the phone or found on our website.

FEES AND CHARGES:
Credit/debit card payments made directly with reception staff via Stripe or Square payment portals do not incur service fees. Please note that you may incur additional charges, for example to cover any damage, or if an extra cleaning fee is required etc. Please note that on Public Holidays our daily rates will include an additional $20 per each daily room rate to help cover running costs during these periods. 

Mill Reception must be aware of the number of guests in all rooms, in case of emergency. Room rates vary per numbers of guests. If in the course of, or immediately after, a guests stay any unforeseen expenses become apparent, the guest who booked the room is liable to cover additional expenses, whether attributable to any guests or visitors of that room. Please note that all of our rooms are non-smoking. If someone chooses to ignore this and smoke in a room then we cannot let that room immediately after and a $200.00 cleaning fee will be charged.

PAYMENT – PAY ON ARRIVAL POLICY:
Guests booking directly with Mill Reception may choose to book now and pay on arrival. Changes and cancellations are permitted up until 2pm Camperdown Victoria local time within 48 hours prior to arrival. Changes or cancellations within this time will be charged in full. No shows will also be charged in full. Cash payments are permitted.

CHECK-IN AND CHECK-OUT:
Check-in from 3.00 pm directly at The Camperdown Mill (3-5 Curdie Street) or houses if that is what you have booked. You will have received a door-code and directions to your room in a text message sent on the day of (or day before) your arrival. 

Please note that check-out time is 10:00 am. If you would like to request a late check-out, please do let us know and we will try to assist as best as possible. *Please note that all special requests are subject to staff availability, additional charges apply.

Late checkouts are available upon request. Please contact Mill Reception to check availability. Additional fees may be applied. A late check-out fee may apply if the property is not vacated prior to the standard check-out time.

*Please note that we have a strict No Party Policy, No Pets & a No Smoking Policy, in consideration of our neighbours and fellow guests.

EARLY CHECK-OUT:
The property reserves the right to charge an early departure fee in the event a guest departs earlier than the original departure date.

LATE ARRIVALS:
If you selected to pay on arrival when booking but arrive after 6.30pm (outside of office hours) please see Mill Reception the following morning from 8.30am, if you need to leave earlier then please call between 8.30-12.30. 

If on arrival after 6.30pm (outside of office hours) you have any trouble finding or accessing your room please text and also call twice, we have an auto-reply in place but will see/hear that you need help. Please remember that door codes and directions to your room will be sent via text or email.

We do our best to provide arrival information however sometimes travel agents do not provide the correct information and we cannot always communicate directly with you until you try to contact us. If this happens we will also leave a sign on the door of Mill Reception, and/or on your apartment door.

QUIET HOURS:
10pm – 9am, televisions etc. to be kept at a respectful low level at all times.

SELF-CATERING BREAKFAST PROVISIONS:
We provide some inclusive self-catering breakfast and snack basics: water, juice, milk, cereal, tea, coffee and biscuits. Unfortunately we cannot cater to individual dietary requirements, so please bring any extra breakfast provisions that you think you might need. Supermarkets are only a few blocks away. 

CHILD POLICY:
Children of all ages are welcomed. As the parents, guardians or chaperones of children you are personally and legally responsible for and must supervise them at all times. For safety reasons please do not leave children unattended in guest rooms or allow them to roam the property unsupervised. 

Infants aged 3 and under stay free, parents must bring their own port-a-cot (we do not provide them). For children aged 4-17 a charge of $25 will apply to assist with the additional laundry and cleaning costs. 18 years and over will be charged the adult rate.

UNACCOMPANIED MINORS:
All guests under the age of 18 must be accompanied by a parent /guardian. The property has the right to refuse any booking, if the legal guardian over 18 cannot provide current photo ID, which may be requested on check-in.

DO NOT DISTURB AND ACCESS TO ROOMS:
To provide all of our guests with a clean and safe experience, we generally provide daily housekeeping. An exception to this may be if staff availability during a public holiday means that we cannot provide a service on that/those day(s). You may use the ‘please make up my room’ or ‘do not disturb’ signs if staying multiple nights. Please place the sign on your door handle so that it can be seen at 9.30am when housekeeping staff arrive. 

Housekeeping enter rooms to clean or service the room, to check for safety, and verify the condition of the room. Reception reserves the right to enter a room with a known status of do not disturb for reasonable purposes, such as an emergency, housekeeping, maintenance, to verify that the room, its furnishings and electrical equipment are intact, or to address or prevent a violation of our terms and conditions. Law enforcement will be granted immediate access to our property and rooms of evicted guests.

CANCELLATION POLICY:
Guests can cancel their booking 48 hours prior to 2pm of the day of arrival with no penalty. Cancellation after this time will incur a cancellation fee equivalent to the first night stay of the accommodation. This cancellation policy does not apply to group bookings, which will generally incur a 50% cancellation fee for the whole stay.

NO SHOWS / FAILURE TO CANCEL:
Each room booked is subject to our cancellation policy. Failure to check-in on the reserved arrival date will incur a penalty charge as detailed in the Cancellation Policy. We reserve the right to cancel or modify reservations where it appears that a customer has engaged in fraudulent or inappropriate activity or under other circumstances where it appears that the reservations contain or resulted from a mistake or error. We reserve the right to cancel or amend bookings if they do not adhere to our terms & conditions. If a guest chooses to shorten their stay or check out early a penalty charge will apply, as associated with the rate booked and the cancellation policy.

REFUNDS:

  • NO shows – will be subject to a 100% cancellation fee (1 nights accommodation)
  • NO refunds for room changes
  • NO refunds for early departures
  • NO refunds given after check-in


COOKING:
Fees for additional cleaning may apply if kitchen areas are left in disorder – please use the available dishwasher and bins to clean-up as needed. Outdoor areas have BBQ facilities available for guest use.

NO PARTY POLICY:
In the interest of all guests, and our immediate neighbours, The Camperdown Mill has a zero tolerance no party policy.The no party policy applies to all guests staying at the property and to any visitors.

In the event that any room/guest is identified as having a party, Mill Reception reserves the right to immediately evict all occupants of the room. 

In addition, the booked guests will be required to settle their accommodation account prior to departure, including payment for any expense resulting from additional cleaning of the room, replacement of any furniture/fixture/fitting breakage, as well as for any required repairs.

FEES CHARGEABLE TO GUESTS ACCOUNT INCLUDE, AND ARE NOT LIMITED TO:

  • Smoking in rooms (includes vaping, incense, candles) – $200.00 deep cleaning fee. 
  • Room degradation (such as vomit, bodily wastes) a $300 cleaning fee will be charged to cover additional cleaning and linen replacements. 
  • Room degradation, property damage. A daily tariff will be incurred until the room has been returned to its saleable condition. Cost of repair or replacement for general damage or theft of The Camperdown Mill property and any problem sufficient to result in a room being withdrawn from its availability to be let, will incur this cost. In extreme cases, criminal charges will be pursued.


DAMAGE TO MATTRESS AND BEDDING:
Damage to mattress and linen, including; towels, mattress protectors, sheets, bedspreads, blankets, coverlets resulting from the use of body oils, make-up, shoe-polish, etc, will result in a charge for the special cleaning, repair or replacement of the damaged article.

HOUSEKEEPING – ROOM SERVICE / ROOM INSPECTION:
Housekeeping is provided daily between the hours of 9.30am to 2.30 pm. Housekeeping may start as early as 9am. Please ensure that all guests vacate your accommodation while your room is being serviced so that our housekeeping staff can easily follow their work routine, a service will not be done otherwise. Housekeeping do not touch or  move any personal belongings, so please leave the bed (and surrounding floor area) clear if a linen change is due or if you wish the bed to be made. Please use the ‘do not disturb’ sign provided if you do not require the room to be serviced. 

This is a non-smoking accommodation, including medical marijuana. Rooms are cleaned and inspected daily so that our rooms can be rented in an appropriate condition. If you have smoked in your room, or bought a prohibited item into our facility. You will be charged a $200 cleaning fee and evicted without any refund.

LINEN CHANGING:
For guests staying multiple nights, bed linen is changed on an agreed schedule. Used towels are exchanged for fresh towels unless otherwise instructed. We ask that you leave your room whilst it is being serviced so that housekeeping staff can follow their routine, if you do not leave the apartment then a service will not be done. Housekeeping do not touch or move personal items and will only clean where possible. Please contact Mill Reception if you have any additional questions or concerns regarding this.

PETS:
With the exception of Sight and Hearing assistance dogs, ALL pets are strictly forbidden inside guest rooms. Any guests breaching this rule will face immediate eviction without refund and a $200 cleaning fee for carpet and any soft furnishing effected.

INFESTATION:
The cleanliness of our rooms is extremely important to our guests. If you bring any infestation into your room or onto our premises, we may charge you for any or all costs and expenses, including immediate or urgent response requirements and loss of room revenue, that we deem necessary to address the infestation.

FIRE SAFETY POLICY:
The accommodation is equipped with smoke detectors, fire extinguishers are in each accommodation, and emergency evacuation plans are on the back of door in each guest room. Mill Reception must be aware of the number of guests in each room. 

NO CANDLES OR OPEN FLAMES PERMITTED. Should the Fire Alarm be activated due to guest actions an additional fee may be charged to the guest.

IN CASE OF EMERGENCY OR FIRE:
Please notify Mill Reception in the event of a fire or other emergency. If Mill Reception is unattended, please call 000. A map that shows emergency exits can be found on the back of your room door. Our after hours message includes The Camperdown Mill address and the Emergency Services number: 000. After hours are 6.30pm – 7am, during this time a member of staff will respond (in an emergency) if you text any issues or call several times. 

SMOKING, VAPING, INCENSE, CANDLES ETC:
All rooms are non-smoking. For safety and to assure that our facility is not exposed to items or actions that create an odour which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet ,walls, curtains  and furniture we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, incense, cigars, candle burning, the use or diffusing of essential oils or synthetic products in our facility. Any of these actions will incur the smoking in rooms – $200.00 additional cleaning fee. The guest(s) may also be evicted with no refunds.

PARKING AT OWN RISK:
Parking for registered guests is free. All vehicles are parked at the risk of the owner. The Camperdown Mill shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the motel property. If a vehicle is left in The Camperdown Mill or Guest House parking areas after the guest has departed without the written consent of The Camperdown Mill, then The Camperdown Mill reserves the right to have the vehicle towed at the owner’s expense. No vehicle repairs on motel premises.

LOST AND FOUND POLICY:
The Camperdown Mill assumes no liability for lost, misplaced, stolen or damaged valuables or belongings. If you discover that you have left something behind of value to you, please call Mill Reception 0436 655 544 immediately and we will try to assist you in locating your lost item.

FOUND ITEMS:
The Camperdown Mill is not responsible for any item left behind by a guest. However any item, with the exception of perishable items, left behind by our guests and found after departure by housekeeping will be collected, logged in, and kept in a secure location for collection by the owner for up to fourteen (14) days. Records of lost and found items are retained for 2 years. Reasonable effort will be made to notify the guest that an item has been found. Perishable items, underwear and miscellaneous toiletries will be discarded.

UNCLAIMED ITEMS / NO CONTACT:
Lost and found items are held for 14 days whilst we attempt to contact the guest. If guest contact information is incorrect or mobile phone mailbox is full and we are unable to contact the guest during the 14-day holding period, the unclaimed item(s) are to be disposed of or given to local charity organisations.

FACILITIES:
If any feature/facility is essential for the guest in choosing a particular property, we recommend contacting Mill Reception prior to booking. The Camperdown Mill cannot be held liable for omissions or errors whether temporary or permanent of the property’s facilities and services. Photos shown on the website are indicative only and may not specifically represent the exact room allocated to you.

FREE WIFI ACCESS:
The Camperdown Mill offers inclusive Wi-Fi internet access allows guests to connect to the internet up to 3 mobile devices per booking. The Camperdown Mill cannot be held responsible for non-availability of the internet network, inability of accessing the website, external intrusion, computer viruses, or non- authorised online transactions using our Wi-Fi access.

SMART TV’S & STREAMING:
To protect your streaming subscription please ensure that you log out of your account before you checkout. Please note that Foxtel or Kayo Sports streaming to our televisions is prohibited, you can watch those on your personal device.

RIGHT TO REFUSE SERVICE:
The Camperdown Mill has a zero tolerance policy in which we will refuse to admit or refuse service or accommodation in our premise or may remove a person, without refund, who refuses to abide by the terms and conditions. The Camperdown Mill will refuse service or evict a guest for refusal or failure to pay for accommodation, if the guest is under the influence of alcohol, drugs or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests, is unable to properly supervise their children at all times, seeks to use the premise for unlawful purposes, seeks to bring onto the premise an unlawfully possessed firearm, fire-works or something, including  explosive, hazardous or toxic substances, that are unlawful to possess and that may be dangerous to other persons, destroys, damages, defaces, or threatens to harm the property or guests, causes or permits persons to exceed the maximum allowable occupancy of room.

RELOCATION:
In the event of a situation whereby The Camperdown Mill cannot provide accommodation as previously confirmed for whatever reason, Mill Reception will undertake to relocate guests to a comparable alternate property at its absolute discretion with no additional cost to the guest. Should the guest wish to choose a property of higher standard other than offered, the guest will be required to pay any price difference. Should the guest not wish to accept the relocation a full refund & booking cancellation may be granted.

ILLNESS:
The Camperdown Mill reserves the right to refuse accommodation to a guest arriving with a contagious disease. In cases where sickness occurs during the stay, please notify reception staff, housekeeping may be limited. In case of serious sickness, you may be requested to receive appropriate health care from a nearby healthcare facility. During epidemics we are entitled to employ precautionary measures within our judgement or as required by local authorities. We may charge you a room cleaning fee as we deem appropriate under the circumstances.

LIABILITY:
All guest(s) will be held responsible for any loss or damage to hotel property caused by themselves, their friend(s), or any person(s) for whom they are responsible. In case of any charges that are not cleared at the time of checkout, legal action may be taken to settle overdue amounts where there has been refusal to pay.     

By booking your stay you agree to allow us to pass on to persons we deem appropriate should you or your visitors, such as but not limited to

  • Fail to settle your account
  • Smoke in the room
  • Room degradation (such as vomit, bodily wastes)
  • General damage to motel property, fittings, fixtures
  • All non-standard cleaning charges
  • Any problem sufficient to result in a room being withdrawn from its availability to let

Management reserves the right to add, alter, or amend any of the above terms, conditions, and rules, please revisit our policies when booking.
